Refund Policy
When we refund, how to ask, and how long it takes.

1. The short version
- The 14-day free trial needs no payment method, so there is nothing to refund if you walk away.
- Cancel any time. Cancelling stops future charges and you keep access until the end of the period you paid for.
- Charged by mistake, or charged after cancelling? We refund it in full.
- Annual plan, cancelled within 30 days of the charge? We refund the unused months.
- We do not refund unused time on a monthly plan cancelled part-way through a month.
2. Free trial
Paid plans begin with a 14-day trial that requires no card. If you do not pick a plan, the trial expires and you are not charged. The free Starter plan remains available afterwards.
3. Monthly subscriptions
Cancelling stops the next charge. You keep full access until the end of the month you have paid for, and we do not pro-rate a partial month — you have had use of the service for it.
If you were charged after cancelling, that is our error and we refund it in full.
4. Annual subscriptions
- Cancel within 30 days of an annual charge and we refund the unused whole months, less any month already begun.
- After 30 days, the annual term runs to its end. You keep access for the rest of it, and it does not renew.
- Upgrading mid-term is charged pro-rata. Downgrading applies at the next renewal.
5. Refunds we always give
- Duplicate or incorrect charges.
- Charges after a valid cancellation.
- Charges during an outage long enough that the service was materially unusable for a billing period.
- A price rise applied to you without the 30 days’ notice our Terms require.
- A feature you were paying for being removed with less notice than the Terms require.
6. Refunds we do not give
- Unused time on a monthly plan cancelled mid-cycle.
- Accounts terminated for breach of the Acceptable Use section of the Terms.
- Money you collect from your own clients — that runs through your Stripe account and never through us, so refunds to your clients are yours to issue.
- Third-party charges, such as Stripe’s own processing fees.
7. How to request a refund
Email support@fitflowwcrm.com from the address on the account with the charge date and amount. We respond within 5 business days. Approved refunds go back to the original payment method and typically appear within 5 to 10 business days depending on your bank.
If we decline, we explain why. You can reply and ask us to look again, and a second person reviews it.
8. Your statutory rights
This policy does not reduce rights the law gives you
Consumers in the EEA and the UK generally have a 14-day right to withdraw from a distance contract. Australian consumers have guarantees under the Australian Consumer Law that cannot be excluded. Where local law gives you a better outcome than this policy, that law applies.
Please contact us before opening a chargeback with your bank. A chargeback suspends the account while the dispute runs, and we can usually resolve it faster directly.
